Automation and agents

A system that does the groundwork: reading what comes in, looking up what's needed and preparing the reply or the quote. You press send.

01

Quote request

Reads the enquiry and the attachment, looks up your prices and prepares the quote in your template.

02

Job sheet to invoice

Takes hours and materials from the job sheet and creates the invoice, with the right VAT and the right project.

03

Receipts

Reads the amount, date and supplier from a photo of a receipt and files it in the right place in your accounts.

04

Booking an appointment

Checks when it's possible, suggests three times and prepares the appointment as soon as there's a reply.

05

Incoming email

Sorts what comes in, picks out what is an enquiry and prepares a draft reply.

06

Chasing up

Keeps track of which quotes haven't had a reply and puts them on your list before it's too late.

In short

The groundwork done before you start.

Automation follows fixed rules. An agent can handle work that's different every time: understanding an email, looking up information, preparing a reply. You check it and press send.

Emails and enquiries

The agent reads what comes in, understands the question and gets a reply ready.

Draft quotes

From an enquiry, a drawing or an earlier quote, ready for you to check.

Looking things up

Information from your own documents, CRM or ERP, without anyone having to search for it.

Day and night

The groundwork carries on outside office hours. It's ready for you the next morning.

Log

Every step logged: you can see what the agent did, with what information and why.

Agreed in advance

We agree in advance what the agent handles itself and what goes to a colleague first.

Our agents

Six agents, each for one task.

An agent takes over one clearly defined task. Anything sensitive, you approve first.

01 / 06 · Lead follow-up

Lead Follow-up Agent

Never let an enquiry go quiet again.

  • Reads the form and checks that everything is there
  • Summarises the enquiry and gives it a label
  • Puts it in your CRM or inbox
  • Drafts a reply for you to approve

A good first step

Lead follow-up: no more enquiries left sitting.

It's a logical first step, because it connects directly to your site and your marketing. This is how an enquiry moves through it.

  1. 01

    Enquiry comes in

Through your site, email or WhatsApp, in one place.

  2. 02

    Checked

Is everything you need in there? If not, it asks for it.

  3. 03

    Summarised and labelled

What the customer wants, how urgent it is, which service.

  4. 04

    In your system

The lead is in your CRM or inbox, with everything attached.

  5. 05

    Reply ready

You get a draft. You approve it and send.

  6. 06

    Followed up

A task or appointment is scheduled, and you can see the status.

For your business

Where in your business this makes the difference.

Sales

Reading an enquiry and preparing the draft quote.

Customer service

Answers from your own information, prepared for you to check.

Purchasing

Checking order confirmations and supplier emails against your order.

Knowledge

Answering your own team's questions from manuals and past files.

Back office

The groundwork for a new customer or order, so all you have to do is decide.

Result

Time, a clear overview, fewer mistakes and lower costs.

Time

The hours now spent on retyping, looking things up and chasing go back into the work that earns your business its living.

Overview

Enquiries, orders and appointments in one place, with a log of what happened. Nothing is left sitting in someone's inbox.

Fewer mistakes

No typos from retyping, no forgotten follow-ups, and every step done the same way every time.

Costs

Getting more work done without hiring extra people, and losing less money to mistakes and enquiries that go unanswered.

How we work

Step by step, and you stay in control.

  1. 01

    Choosing the task

We start with one task that takes a lot of time and is easy to check.

  2. 02

    Limits

We set out what the agent may read, what it may prepare and what never happens without your approval.

  3. 03

    Build

With access only to the systems you name, in a closed-off environment.

  4. 04

    Supervised start

At first, someone on your side checks every suggestion. You see what it does before it's allowed to do more.

  5. 05

    Hand over

Log, explanation and on/off switch: you can see what's happening and you stay in control.

Rule or agent

Not everything needs AI. Sometimes a fixed rule is better.

A fixed rule is cheaper, faster and more predictable. We only use an agent where something has to be understood.

A fixed rule is enough when

  • The rules don't change
  • The steps are the same every time
  • There's little text to understand
  • A mistake is easy to check

You need an agent when

  • What comes in is messy: emails, text, documents
  • Something has to be understood, not just moved
  • There are several possible next steps
  • A colleague deals with the exceptions
Handover

Your team knows how it works before it goes live.

At handover your team gets a short briefing, on paper and in person.

What the system does

In plain language: which tasks it takes over and which it doesn't.

Which data it uses

What it can access, and what it can't.

When a colleague checks

Which steps always need approval first.

How to report a mistake

One fixed place, and who picks it up from there.

What must stay out

Which information you never put into an AI tool.

Who changes it

Who makes changes, and how you ask for one.

Anyone who uses AI has to make sure their people know enough about it (Article 4 of the EU AI Act). That's why this briefing is part of every handover.

Risks

Where it goes wrong for others, and what we do about it.

An integration with your CRM, ERP or accounting touches the heart of your business. This is how we set it up.

Whether we can get at your data ourselves

That shouldn't be necessary. The system runs on your accounts. We have access while we're building, and after that only when you ask.

Your customer list in a free AI tool

A member of staff pastes customer details into a chatbot, and you no longer know where they are. We only work with services that don't feed your data into their model, and we only send what the task needs.

A system that can get into everything

Each agent only gets access to the mailbox, folder or list it needs for its task.

An invoice that goes out unchecked

We agree in advance what the system handles itself and what a person checks first, and we put a figure on it.

Nobody knows what happened

Every action is logged: what happened, when, why and who set it off.

Being tied to whoever built it

Everything runs on your own accounts and your own domain. If we stopped tomorrow, it would keep running and someone else could take over.

It stops just when you need it

Integrations break when a supplier changes something. We keep an eye on them and get them running again. You can switch off any integration yourself.

Frequently asked questions

Frequently asked questions.

Does an agent send replies itself?

No. Every reply stays a draft until you click send. An acknowledgement can go out automatically, if you switch that on.

Where does the data go?

The text is read by an AI model from an external provider. We choose a provider whose terms state that it does not use your data to train its model, and we agree with you where the data is processed.

I don't have a CRM. Can it still work?

Yes. The enquiries then go into an overview we set up for you. A CRM can come later.

Does a caller hear that they're talking to an AI?

Yes. The voice agent says so at the start of the call. We think a caller ought to know.

What if an agent doesn't know the answer?

Then it says so, notes the question and makes sure you can call back or reply. We set it up so that it doesn't make up an answer.

Does everything need AI?

No. Where fixed steps are enough, we build a fixed rule. We only use an agent where a message has to be read and assessed.
