Three levels

From a form to a full quoting system.

  1. 01

    Quote form

A step-by-step form that collects the right details: what, how much, where and when. No price, but a complete enquiry.

  2. 02

    Configurator

The customer puts it together themselves and sees a price or an estimate straight away: base price, options, price tiers, surcharge, VAT and anything that recurs monthly.

  3. 03

    Quoting system

The whole thing, known in the trade as CPQ: catalogue, pricing rules, margins, internal approval, digital acceptance and a link to your CRM and your invoicing.

The whole route

Not a PDF generator, but the path from enquiry to payment.

  1. 1Website
  2. 2Customer picks options
  3. 3Price is calculated
  4. 4Lead is in your CRM
  5. 5Quote drawn up
  6. 6Internal approval
  7. 7Customer signs
  8. 8Work begins

If a discount is out of the ordinary or the margin is low, the quote goes to the right person first. Acceptance flows through to your CRM, your calendar, your accounting and, if you like, online payment and digital signing. We check in advance, system by system, which integrations are possible.

The quote itself

A quote no longer has to be a PDF.

Quote 2026-041.pdf€ 4,850Fixed amount. A change means a new version.
  • Fixed amount, fixed options
  • A change is a new version
  • You don't know whether it's been read

  1. Day 0Quote opened

  2. Day 0Sales notified

A nudge at the moment it matters.

  3. Day 3Reminder

If it stays quiet, a reminder goes out.

  4. Day 5Call task

It's on the right colleague's task list.

  5. Day 6Follow-up email

The draft is written. You read it and send it.

  6. ApprovedThe work begins

Confirmation, scheduling and, if you like, the invoice.

AI in your quoting process

An agent prepares. Prices stay yours.

  • Summarise the enquiry
  • Flag missing details
  • Suggest the right service
  • Draft an initial scope
  • Write a draft quote
  • Point out risks
  • Flag an unusual discount
  • Prepare the follow-up

AI prepares a draft. Pricing rules, unusual discounts and the final terms stay under human control.

Control

Automatic where it can be, your approval where it has to be.

One approved price list

Prices and rules live in one place and you manage them. Roles and permissions decide who can change what.

Approval for exceptions

You set a threshold. A higher discount or a low margin goes to the right person first.

Versions and log

You can see which version the customer received and who changed what. Signing and payment go through a secure service.

How we work

Six steps, and we check the sums first.

Frequently asked questions

Frequently asked questions.

How is this different from quoting software?

Quoting software is an off-the-shelf package: you adapt the way you work to the package. A bespoke quoting tool calculates with your own pricing rules and options.

Can a customer fill it in themselves on my site?

Yes. You choose whether they see a price straight away, or whether the enquiry comes to you first.

Does the quote go out automatically?

Only if you want it to. By default you check it and send it yourself.

Does it always have to produce an exact price?

No. For bespoke work the tool shows an estimate and the complete enquiry comes to you.

What does AI do here?

An agent can summarise an enquiry, flag missing details and prepare a draft. Prices, discounts and terms stay yours.

What if my prices change?

You change them yourself, in one place. Every new quote then uses the new price.

Will it work with my accounting software?

Often, yes. An accepted quote can then carry through as an invoice. We check that for each program.

What will I receive?

An analysis of your quoting process, your catalogue and pricing rules written out, the tool itself, quote templates, an approval route, the follow-up, an admin screen and documentation.

How do you make sure customers finish the form?

Choices first and details after, progress in view, a price range when an exact amount isn't possible, being able to go back without losing anything, an explanation with every option, and contact details only at the end.

What do you need from me?

Your price list and your pricing rules, ten quotes you've already made, and your exceptions: when do you charge more or less.
